So, this is part 2 of my Trello guides for bloggers, read how to get set up with the basics in my previous post ‘How to set up a free Trello Blogger Board‘ and even download the template to get you started. The Sendboard Power-up for Trello helps you send emails or manage outreach tasks directly from Trello cards, making it easier to handle communication with guest writers, collaborators, or even for outreach to brands and PR contacts. It is the best thing I did as a blogger to manage my workload and time more efficiently.

Please note that I use Sendboard PRO, this costs $120 a year but is worth it for me. You might think that some of the features are not worth it, there are 3 different pricing categories for Sendboard so have a look and see which one works best for you. Simply ignore the parts below that are for specific accounts.

Step 1: Enable the Sendboard Power-up in Trello

  1. Open Your Trello Board
    First, navigate to the Trello board you want to add the Sendboard Power-up to. This will be the board that you want to use for managing your Blog, it might be the Blogger Board template from my previous post.
  2. Access Power-ups Menu
    On your Trello board, locate the Power-ups menu, which can be found on the board’s main page, typically under the board’s name or the “Show Menu” section on the right side of your screen.
  3. Search for Sendboard
    In the Power-ups menu, type “Sendboard” into the search bar. Sendboard should appear in the list of available Power-ups. Click Add to enable it.

Step 2: Set up Sendboard

  1. Set up with your email
    When adding Sendboard to your Trello board you are asked for sender name ‘MummyConstant’ for example. A board email address, this will be visible by other people if you send messages. Here you can add a customer email address too if you want to use an email address that you already have set up.

I use my own custom domain and I have Sendboard Pro, so I can get maximum benefits from the system. I have to verify my DNS settings in order to use mummyconstant.com. You can get really great support from Sendboard if you need: Custom email addresses.


Step 3: Choose a list for new emails

In order for new emails to be set up as cards, you need to choose the list where they will be added. I use the ‘to be sorted’ list that we created in the Blogger Board. This simply means that all new cards that are added to the board, from your emails, will be added to this list.

Step 4: Set up signature and automated message

You can set up an automated message and signature too, so it matches what you would normally have set up in Outlook or Mail app etc. This is really useful as it shows customers that it is you! I have an automated message set up to say that I use Trello to manage my emails and I will get back the person as soon as I can etc. You can have whatever you want, even images!

Once you have gone through the set up, you will have successfully added Sendboard to your Trello board. You will notice that Sendboard has added some cards already and you can see the Power-Up in the card :

Automate Outreach and Follow-ups

  1. Set Up Templates
    Sendboard allows you to save and reuse email templates, which can be incredibly useful for bloggers who frequently reach out for guest posts, collaborations, or sponsored content. Create templates for various scenarios, such as outreach, follow-up emails, or promotional partnerships.
  2. Track Responses
    After sending emails directly from Trello, you can track responses and follow up as necessary. This can be especially helpful when managing multiple collaborations, guest posts, or content deadlines across your blog.

Collaborate More Efficiently

  1. Assign Tasks
    Use Trello’s native features to assign tasks related to the email correspondence. For instance, you can create cards for each guest post and link Sendboard emails to specific tasks or collaborations within that card.
  2. Centralise Communication
    By managing email communication directly within Trello, you reduce the need to jump between your inbox and Trello board. This makes managing collaborations and client communications much more streamlined.

Monitor Results and Optimise

  1. Track Email Metrics
    Many email tools provide analytics, such as open rates and response rates. If Sendboard includes this functionality, review your email performance to understand which messages are resonating most with your audience or collaborators.
  2. Refine Outreach Strategies
    Based on your email metrics, adjust your outreach and content strategy. For example, you may notice that certain email templates or subject lines generate more engagement, allowing you to optimise future communications.

Integrating the Sendboard Power-up into your Trello board is a great way for bloggers to centralise your workflow, manage content outreach, and enhance communication with collaborators, all within the Trello ecosystem. Whether you’re dealing with guest posts, sponsored content, or regular client outreach, this tool makes the process more efficient and organised.
